Unmanned Warehouse QR Code Implementation Plan

Our project involves a large volume of items flowing in and out. We used CaoLiao QR codes to build an unmanned warehouse management system, replacing the previous paper-based recording method. The core concept is one code per item, where each type of item has a dedicated QR code to record entry and exit information, which is then aggregated for statistics. Below is our entire setup process.
Implementation Preparation:
- Complete inventory of all materials in the warehouse, ensuring accounts match physical stock; all items are categorized and placed on shelves as required.
- One electronic copy of the warehouse materials ledger, which must include essential information such as material name, specifications, model, and stock quantity.
- Implement 5S management in the warehouse.
- One color printer, one computer (with internet access), one set of office desks, and one pack of adhesive printing paper (A4 size) are required in the warehouse.
- Two sets of transit shelves, which can utilize spare shelves in the warehouse.
- Warehouse monitoring must achieve 200% coverage without blind spots.
- One access control system.
Implementation Steps:
- Implement one-code-per-item management for all items in the warehouse, establishing corresponding QR code information for each item:

- Categorize and manage QR codes to facilitate data statistics.
Arrival Management:
- Set up a material transit area at the warehouse entrance with 200% blind-spot-free monitoring coverage. Equip the area with 2 sets of transit shelves and 2 sets of wooden pallets. Upon arrival, delivery personnel should place small items individually on the transit shelves and large items on the wooden pallets. They then scan the QR code to fill out the delivery note and upload the delivery documents:

- After opening the material delivery note, fill in the following content and upload the original delivery documents for the materials.

- After completion, the interface will appear as follows, and the delivery personnel can complete the material delivery.

- After the delivery personnel submit the information, managers can synchronously receive material arrival notifications on WeChat and review the material list submitted by the delivery personnel. Managers can use their free time to inspect the quantity, appearance, model, etc., of the materials in the transit area. Once the inspection is passed, the materials are replenished to the corresponding shelves. If other issues arise, the delivery personnel can be contacted for verification.
- If managers find that the arrived materials are purchased for the workshop and no corresponding QR code has been created in the warehouse, they can open the unmanned warehouse management backend to create a QR code for that item. If the item will later become one of the warehouse materials, it is directly placed in the corresponding area on the shelf. If the material is a one-time purchase, the QR code is directly printed using the color printer and affixed to the material (the entire process can be completed within approximately 3 minutes).
Material Receiving Management:
- Warehouse materials can be statistically tracked in real time. For convenience, managers can export a material ledger from the backend monthly and share this data with department heads of the company. Department heads can independently check the warehouse material status and material numbers.
- After filling out the material requisition form, the recipient submits it for signatures from Director Zhang Guocheng and General Manager Sun (if leaders are away, WeChat approval is recommended).
- Upon arriving at the warehouse, based on the material name and number, the recipient can directly determine the specific location of the material without searching. Additionally, a computer client is set up in the warehouse to help recipients quickly locate materials.
- After arriving at the material location, the recipient first checks the material model, appearance, weight, etc. After confirmation, they scan the item's QR code, fill out the requisition form, and upload the signed photo or WeChat screenshot.

- After successful submission, the recipient can take the requisitioned materials, and managers will synchronously receive the material receiving information on WeChat.
Backend Management and Data Analysis
- Use the SUGAR digital analysis tool to create a data visualization frontend, enabling real-time summarization of material queries, material delivery status, and material receiving status.

- Managers can export the warehouse material ledger in real time from the backend, eliminating the need for manual verification and inventory checks.
- Managers can determine monthly material receiving situations through exported data and submit monthly material procurement plans based on inventory.
- Managers can analyze QR code scanning frequency to identify long-term stagnant materials in the warehouse, revitalize inventory, reduce capital costs, report to the group's material idle platform, achieve mutual exchange with other subsidiaries, and improve material utilization rates.
