Applications of QR Codes in Workshop Information Management

We are an automotive parts company with thousands of pieces of equipment and measuring tools in our workshop. Previously, we relied on paper forms and WeChat communication for equipment inspections and tool usage records. The paper-based approach had many drawbacks, as I'm sure many of you can relate.

For example:

  • During on-site equipment inspections and maintenance, it was impossible to monitor whether workers followed procedures just by looking at the records, making it easy to falsify data without detection.
  • Quality information from the production floor couldn't be immediately transmitted to management.
  • When statistical data was needed, massive amounts of paper records had to be manually entered, which was time-consuming and labor-intensive. Data loss or errors were particularly frustrating.

Moreover, daily communication occurred through WeChat, where everyone described things in their own way, leading to inconsistent information transmission and difficulty in categorization. When disputes or finger-pointing arose, there was no direct evidence to support claims.

Considering the high cost of implementing full-scale information management systems in the workshop, we sought low-training-cost software and discovered CaoLiao QR Codes. We initially created QR codes for "Automated Equipment Management" and "Battery Trough Liquid Detection and Feeding," and after a trial period, the feedback was positive. We then decided to adopt QR codes for workshop information management.

We attached QR code tags to each piece of equipment and tool, replacing paper records with scan-based recording. This allowed us to clearly track daily inspection status and tool usage. Beyond equipment inspections, we've applied QR codes to quality inspection process registration, production line parameter recording, OA office operations, material display, and various other areas. We've now developed over 2,000 QR codes and entered 23,016 data entries, significantly improving efficiency in business areas where traditional office methods fell short.

The benefits of using QR codes include:

  • Better control over data authenticity
  • Standardized data storage that's easy to process after export
  • Information forwarding functionality that keeps relevant personnel informed about various process operations
  • Quick information sharing that improves work efficiency

Additionally, as the person creating and managing these codes, I find the system easy to use. Once input rules are set up, all users can operate it without requiring advanced technical skills.
