1. Problems Addressed

Traditional paper-based inspection forms face the following issues during fault reporting:

  • Delayed Response: Abnormal situations after fault reporting are difficult to address promptly, making it impossible to view fault rectification status in real-time.
  • Open-Loop Process: Fault reporting, repair and rectification, and acceptance are fragmented, lacking unified management, making it difficult to track progress.

  • Use QR Codes to Replace Paper Forms: Integrate fault reporting, repair and rectification, and acceptance into a single QR code for closed-loop management.
  • Real-Time Reporting via WeChat Scan: Inspectors scan the QR code with WeChat to report faults upon discovery. The system automatically notifies rectification personnel via WeChat, enabling real-time progress tracking.
  • Unified Data Management: Fault reporting and rectification data are stored in the backend, allowing easy access, traceability, and export for archiving.

Note: This is a universal template suitable for fault reporting for various equipment. You can create one QR code per device or use a single fault reporting QR code for all equipment in a facility.

1. Inspector Reports Fault

  • Fill out the fault reporting form via WeChat scan: Upon discovering a fault, inspectors scan the QR code, provide detailed descriptions, upload photos, and submit the report.
  • Initial status set to "Pending Rectification": After submission, the record's status defaults to "Pending Rectification".

2. Maintenance Personnel Perform Rectification

  • Automatic notification to maintenance personnel: The system automatically notifies maintenance personnel via WeChat to review fault details.
  • Record the rectification process: Maintenance personnel promptly review and follow up, documenting the entire repair and rectification process.
  • @Mention acceptance personnel for verification: After rectification is complete, @mention acceptance personnel within the record to notify them for verification.

Note: To standardize rectification records, you can associate a rectification feedback form with the follow-up actions of the fault report.

3. Acceptance Personnel Verify and Close the Item

  • Acceptance notification: Acceptance personnel receive a collaboration message via WeChat where they are @mentioned. They review the repair and rectification process and proceed to the site for verification.
  • Update status to "Rectified": After successful verification, manually change the status to "Rectified", completing the fault closure and forming a management closed loop.

  • Unified Backend Management: All fault reporting and repair rectification data is stored under your account. Administrators can log in to the backend anytime to view detailed data.
  • Filter by Status: Filter data by status to quickly identify unrectified faults and arrange timely handling.

2. How to require manager approval for fault reports before rectification?

3. Can the rectification feedback form be linked with the processing status?

Answer: Linkage functionality is not currently supported. After maintenance personnel fill out the rectification feedback form, they need to manually change the processing status. Administrators can filter and view data by status in the backend.
