How to Use QR Codes to Automatically Generate Visitor Vehicle Registration Logs

To implement normalized epidemic prevention work, reduce contact with external personnel, lower risks, and achieve clearer data information for easier management and retention, CaoLiao QR codes are used to generate visitor vehicle codes. Vehicles entering the facility submit information by scanning the QR code, and an Excel log is automatically generated via API. Each piece of information is traceable, enabling visual management and facilitating closed-loop vehicle management by security personnel.
Before using QR codes, registration for entering the facility was done by handwriting, leading to many management inconveniences:
- Handwritten registration information was often illegible and hard to read.
- Verifying personnel information was inconvenient and time-consuming.
- Searching for past records was very difficult.
- Paper records required significant storage space.
- Contact risks could not be reduced after the onset of the pandemic.
- The limited space on paper forms could not accommodate the extensive information required for epidemic control.
- During the pandemic, electronic records were needed, but illegible handwriting reduced data entry efficiency.

Currently, QR codes are used to digitize the application and management of vehicle information for entering the facility, meeting epidemic prevention requirements, reducing contact between security personnel and external individuals, and lowering risks.
1. Usage Process
Drivers scan and fill out the entry registration QR code to submit information. Security personnel verify the information through the automatically generated log and issue a pass for entry after confirmation.

When vehicles leave, security personnel mark the departure time for the corresponding vehicle. Security personnel track entering vehicles every two hours to ensure that vehicles that have completed their tasks leave the facility promptly and advise those that have not left to do so. Safety management personnel export the data the next day and submit the vehicle information to the management committee for filing.
2. Outcomes
- Reduced contact with external personnel, lowering risks.
- Clear and real-time understanding of vehicle status within the facility.
- Ensured safe and effective control of vehicles entering the facility.
- All information is generated directly without the need for downloads, improving work efficiency.
Information Summary Log
By connecting the officially provided database with Excel, each submitted piece of data is displayed in the log in real time. There is no need to download data, enabling real-time updates for easy information review and subsequent data retrieval, achieving visual management.
