Instant Inspection with QR Codes: Dongfang Company's Equipment Development Embraces "Cloud" Management

They have adopted a novel management model for on-site electrical appliances like electric water boilers and heaters, utilizing a mobile smart management system for safety inspections, enabling "cloud management." Safety usage data for each piece of equipment can be read and written on-site at any time, achieving traceable electronic records that are both environmentally friendly and efficiency-boosting.

During the equipment management process, to ensure the traceability of inspection records, staff needed to fill out paper inspection forms on-site after completing equipment checks. Traditional paper forms, often glued onto the equipment or nearby walls, would become damaged or detached over time, leading to lost records and difficulties in tracing issues. Inspired by the widespread use of QR codes, Mayao Power Supply Station technicians developed an electronic scanning record system. They stored inspection forms online, allowing inspectors to fill them out via their mobile phones by scanning a QR code. With smartphones now ubiquitous, scanning QR codes to view and update records during inspections is both convenient and efficient.
After dedicated efforts by the technical team, the electronic inspection form was successfully developed. Given the variety of equipment used at the dock, Mayao Power Supply Station first applied the QR code electronic inspection system to electric water boilers. Previously, inspection forms attached near the water boilers would often become damp and damaged due to high humidity. Now, using laminated QR codes, the forms remain unaffected. Inspection records filled out via mobile phones are saved directly to the backend, with managers collecting data weekly to analyze equipment safety usage.
In the past, with paper-based inspection records, staff could only make brief notes on equipment conditions, limited by the medium. Details were often omitted. With QR code electronic management, inspection items are more detailed, allowing for customized check interfaces tailored to each device. Adjustments can be made as needed. Basic equipment parameters and maintenance records are stored in the cloud. In case of a malfunction, scanning the QR code provides a complete history, aiding maintenance personnel in better analyzing the issue.

The use of electronic QR codes has also resolved the previous difficulty in consolidating inspection data. Due to the company's wide coverage area, dispersed electrical equipment locations, and variety of devices, compiling inspection data for analysis required manually recording information at each site and bringing it back to the office for summarization—a tedious and time-consuming process. Now, the QR code electronic inspection form perfectly solves this problem. On-site inspectors can scan the code, enter a password, and directly query or fill out inspection records. After completing their work, there is no need to bring back physical forms; records are automatically uploaded to the cloud for statistics. Categorized summaries of equipment usage are then sent to the QR code manager's mobile phone, enabling quick oversight of various equipment operations, greatly improving efficiency, and ensuring safe and reliable equipment performance.
Through pilot observations on selected equipment at Mayao Power Supply Station, the advantages of using QR code electronic inspections have proven significant: scientific, convenient, and greatly enhancing management efficiency. Next, Mayao Power Supply Station will fully implement electronic QR code management across company facilities such as guard booths, cables, lighthouses, and distribution boxes, tailored to the characteristics of each device.

The QR codes mentioned in the article were created using the bulk QR codes generation feature of CaoLiao QR Code. By importing an existing Excel spreadsheet of equipment information, a large number of QR codes were generated at once. Inspection forms were added to the QR codes, enabling different equipment to be scanned to add inspection information. Inspection records submitted via scanning are stored in the workbench and can be exported to Excel at any time.
The label layout function provided by the CaoLiao system was utilized. After setting up a label template, different content nameplates were automatically generated in bulk. These were downloaded and printed on PVC adhesive labels. After printing, the labels were peeled off and affixed to various inspection points, ready for use.
