Bulk Status Update Feature ​

I. Feature Overview ​

This feature builds upon the Bulk Add Records functionality, combined with form settings for status update rules, to achieve the effect of updating statuses in bulk.

Super administrators or advanced members can use the Bulk Add Records feature in the mobile workbench. Without needing to scan codes one by one, they can add form records for a batch of QR codes. By utilizing the status auto-update rules set in the forms, the statuses of this batch of QR codes are updated in bulk.

II. Application Scenarios ​

1. Asset Inventory Scenario ​

  • Asset QR codes are linked to a physical inventory form, and the form has status update rules set. For example: filling out the inventory form automatically updates the asset status.
  • In the mobile workbench, fill out the physical inventory form, then select a batch of asset QR codes to submit.
  • The asset statuses for this batch of QR codes will be updated according to the status update rules.

2. Asset Borrowing and Returning Scenario ​

  • Asset QR codes are linked to borrowing and returning forms, and these forms have status update rules set. For example: filling out a borrowing form changes the status from Available to Borrowed; filling out a returning form changes the status from Borrowed to Available.
  • In the mobile workbench, fill out the borrowing or returning form, then select a batch of asset QR codes to submit.
  • The asset statuses for this batch of QR codes will be updated according to the status update rules.

3. Fire Extinguisher Inspection Scenario ​

  • Link fire extinguisher QR codes to an inspection registration form, and set status update rules for the form. For example: filling out the inspection registration form automatically updates the fire extinguisher's current status to Normal or Abnormal.
  • After an inspector completes the inspection of fire extinguisher equipment in a building and ensures their status is normal.
  • In the mobile workbench, fill out the fire extinguisher inspection form and select this batch of fire extinguisher QR codes from the directory.
  • The equipment statuses for this batch of fire extinguisher QR codes will be updated according to the status update rules.

4. Checking Student Homework Completion ​

  • Create a personnel information QR code for each student, setting a status for homework completion: Completed, Not Completed. Default is Not Completed.
  • Link the student QR codes to a homework completion registration form, and set status update rules for the form.
  • In the mobile workbench, fill out the homework completion registration form, select the QR codes of students who have completed their homework, and submit.
  • The statuses for this batch of student QR codes are automatically updated to Completed.
  • If there's a need to reset all statuses back to Not Completed, manual scanning and status modification for each code is not required. Simply submit the form again to batch update the statuses to Not Completed.

III. How to Set Up ​

1. Bulk Add Records Feature ​

Only super administrators and advanced members can use the Bulk Add Records feature in the mobile workbench. Advanced edition and higher versions include slots for advanced members.

Supports methods: Select codes from the directory and Continuous scanning with the rear camera.

2. Setting Form Status Auto-Change Rules ​

QR code statuses can automatically change based on data submitted in forms, eliminating the need for manual adjustments.

Status auto-update rules can be set. When form data meeting the conditions is submitted, the status on the corresponding QR code will change accordingly.
